Checking guests in and out, and undoing a mistake

Checking a guest in or out tells your calendar, your guest messages and your cleaning team what is happening in the room. Atlas asks you to confirm each time and shows the guest’s name, the room and the dates, so you do not tap the wrong booking.

  1. Open the booking and press Check In (shown for Confirmed bookings).
  2. A box asks Check in, followed by the guest’s name, the room and the stay dates. If today is not the arrival day, Atlas shows a warning, for example that the guest arrives tomorrow or was due some days ago. Read it before you go on.
  3. Atlas checks that the room is ready. If the room has a maintenance block, you are asked to clear the block or assign another room first, with an Open calendar link.
  4. Tick Room is clean, stocked, and ready for arrival.
  5. Press the button that says Check in and the guest’s name.

If the guest still owes money, Atlas shows Outstanding balance. Press Collect balance now to send a payment link, or Proceed without payment if you are handing over the keys anyway.

If no ID is on file, Atlas shows Guest ID required. Choose Capture / choose ID photo (Aadhaar front or passport page). For a guest who is not an Indian citizen, fill in the nationality too.

Atlas does not check a guest in before the arrival day. If the guest really has arrived early, the button changes to Move arrival to today & check in with the guest’s name. Confirming moves the arrival to today, holds the extra nights on your booking channels, and then checks the guest in.

  1. Press Check Out.
  2. Confirm the guest’s name, room and dates. If the guest leaves before the booked date, Atlas tells you how many days early.
  3. Press the button that says Check out and the guest’s name.

Checking out sends the farewell message, may create cleaning tasks for your team, and marks the room vacant.

Right after a check-in or check-out, a message appears with Undo. It stays for 15 seconds.

After that you can still undo from the booking page:

  • Undo Check In (for a checked-in guest). The booking goes back to Confirmed, and guest messages for the real arrival date are restored. Use it only if the check-in was a mistake.
  • Undo Check Out. Available until the booked departure day. The guest goes back to Checked in, and their remaining nights are held and closed on your booking channels again. If someone else has booked the room for those nights since, Atlas tells you who holds them.
  • Mark No-Show appears only on a Confirmed booking whose arrival time has passed.
  • Undo No-Show. If you pressed Mark No-Show by mistake, this puts the booking back to Confirmed. If another booking has taken the nights in the meantime, Atlas will not restore it.

The Undo buttons on the booking page ask you to confirm first. The Undo that appears for 15 seconds right after a check-in or check-out works with a single tap.
